Campuses

If your school operates across multiple locations, the Campuses configuration lets you define each campus with its own name, address, color, and contact information. Campuses are used throughout the system for filtering leads, assigning forms, and scoping contracts.

Accessing Campus Configuration

  1. Navigate to Configuration in the sidebar.
  2. Select the Campuses tab.

Campus Card Display

The campuses page shows each campus as a card with:

  • Name -- The campus name (e.g., "Main Campus", "Downtown Center").
  • Address -- Physical address of the campus.
  • Color -- A color code used to identify the campus in the UI (calendar events, badges, etc.).

Adding a Campus

  1. Click Add Campus (available to users with Config Access).
  2. Fill in the campus details:
    • Name (required) -- A descriptive name for the campus.
    • Address -- Street address.
    • City -- City or locality.
    • Color -- Select a color for visual identification.
  3. Click Save.

Editing a Campus

  1. Click on the campus card or the edit button.
  2. Modify the desired fields.
  3. Click Save.

Campus Color

Each campus has an assigned color that appears in:

  • Calendar events when activities are assigned to a campus.
  • Filter badges and selection indicators.
  • Visual differentiation in multi-campus views.

To change a campus color:

  1. Click the color swatch on the campus card.
  2. Select a new color from the color picker.
  3. Changes are saved when you save the overall campus configuration.

Campus Contacts

Each campus can have its own contact person(s):

  1. On the campus card, find the contacts section.
  2. Click Add Contact.
  3. Enter the contact's name, title, email, and phone.
  4. Save the contact.

Campus contacts are separate from the school-level contacts in General Settings. They allow families to reach the specific campus they are interested in.

Default Campus

The system creates a default campus for each school. This default campus is used when:

  • A lead does not have a specific campus assigned.
  • Legacy records created before multi-campus support was added.

TIP

Even if your school has only one location, the default campus is created automatically. You can rename it and add contact details to customize it.

How Campuses Are Used

FeatureCampus Usage
LeadsEach lead can be assigned to a campus
FormsPublic forms can be scoped to specific campuses
ContractsContract types can be restricted to a campus
ActivitiesPhysical activities (meetings, tours) can specify a campus and room
FilteringThe lead list and calendar can be filtered by campus
ReportsReports can be segmented by campus

Deleting a Campus

Campuses with associated leads or data cannot be deleted. If you no longer use a campus:

  1. Consider renaming it to indicate it is no longer active.
  2. Remove it from any active forms or contract types.

WARNING

Deleting a campus that still has leads assigned to it may cause data inconsistencies. Always reassign leads to another campus first.
