Kanban Board View
The Kanban board provides a visual overview of all applicants organized by pipeline stage. Each stage appears as a column, and applicant cards can be dragged between columns to advance them through your admissions process.
Switching to Kanban View
- Navigate to the Applicants page from the sidebar.
- In the top-right corner, locate the view toggle buttons (list icon and column icon).
- Click the column icon to switch to Kanban view.
Your view preference is saved in your browser and persists across sessions.
Understanding the Board Layout
Each column on the board represents a stage in your pipeline:
- Column header -- displays the stage name and the count of applicants in that stage.
- Overdue indicator -- if any applicants in a stage have overdue follow-ups, a red count appears below the stage name.
- Applicant cards -- each card shows the applicant's name, contact details, status badge, and key information at a glance.
TIP
The column header badge is color-coded to match the stage color you configured in Settings > Pipelines. This makes it easy to visually identify stages.
Selecting a Pipeline
If your school has multiple pipelines (e.g., "Kindergarten Admissions" and "Primary School Admissions"), you can filter the board by pipeline:
- Click the pipeline dropdown in the page header (shows the currently selected pipeline name or "All Pipelines").
- Select a specific pipeline to view only its stages and applicants.
- Select All Pipelines to see applicants across all active pipelines.
WARNING
Inactive pipelines are hidden from the pipeline dropdown. If you need to access leads in an inactive pipeline, select "All Pipelines" or reactivate the pipeline in Settings.
Moving Applicants Between Stages
To move an applicant to a different stage:
- Click and hold an applicant card in one column.
- Drag it to the target stage column.
- Release the card to drop it into the new stage.
The stage change is saved automatically. An audit log entry is created, and any workflows triggered by stage changes will execute.
TIP
You can also move applicants via the applicant detail page by clicking on the stage tracker at the top of the page.
Keyboard Navigation
The Kanban board supports keyboard navigation for accessibility:
- Press Tab to move focus between cards.
- Press Arrow keys to navigate within a column.
- Use the applicant detail page for stage changes when using keyboard-only navigation.
Applicant Card Information
Each card on the board displays:
- Guardian/parent name and contact information (email or phone)
- Student name with age calculated from birthdate
- Country flag based on the child's nationality
- Status badge (e.g., Applied, Accepted, Waiting List)
- Engagement level indicator (Hot, Warm, Cold, Idle) when engagement tracking is enabled
- Duplicate flag -- an amber flag icon appears if the applicant is flagged as a potential duplicate
- Lock icon -- displayed when the applicant's form submission is locked
Column Truncation
For performance, columns with many applicants show only a subset of cards initially. If a column is truncated:
- A "Show all (X)" button appears at the bottom of the column.
- Click it to expand the column and reveal all applicant cards.
Pipeline Statistics
At the top of the page, four stat cards provide an at-a-glance summary of the current pipeline:
- Pipeline Applicants -- total number of applicants in the selected pipeline
- Overdue Follow-ups -- count of applicants with past-due follow-up dates
- Due Today -- applicants with follow-ups scheduled for today
- High Priority -- count of high-priority applicants
Large Dataset Handling
When a pipeline contains a large number of applicants, the system loads data progressively. An information banner appears if results are capped, with options to:
- Switch to Table View -- for better performance with large datasets
- Apply Filters -- to narrow down the visible applicants
TIP
For pipelines with more than 1,000 applicants, consider using the Table View with filters and pagination for a smoother experience.
