Filtering Applicants
The Leads Management module provides two complementary filtering systems: column filters built into the table view, and saved filters that work across both Kanban and Table views. Together they let you quickly find specific applicants in your admissions pipeline.
Column Filters (Table View)
In Table View, each column header has a filter icon that opens a filter panel for that column. Active filters are indicated by a highlighted filter icon.
Available Column Filters
| Column | Filter Type | Options |
|---|---|---|
| Parent/Guardian | Text search | Filter by name or email |
| Student Name | Text search + Engagement | Filter by student name; optionally filter by engagement level (Hot, Warm, Cold, Idle) |
| Year / Enrolment | Dropdowns | Filter by enrolment year and/or year group (program) |
| Source & Date | Dropdown + Date range | Filter by lead source; set created-from and created-to dates |
| Activity Date | Date range | Filter by next activity date range or last activity date range |
| Tags | Multi-select | Filter by one or more tags |
| Status | Grouped select | Filter by status (Applied, Accepted, etc.) and optionally by status level |
| Stage | Dropdown | Filter by pipeline stage; options update based on selected pipeline |
| Pipeline | Dropdown | Filter by pipeline (when viewing "All Pipelines") |
| Owner | Dropdown | Filter by assigned representative |
Using Column Filters
- Click the filter icon in any column header.
- A dropdown panel appears with the filter controls for that column.
- Enter your filter criteria (text, dropdown selection, or date range).
- Results update immediately as you type or select values.
TIP
When you select a Pipeline filter, the Stage filter automatically updates to show only stages belonging to that pipeline. Similarly, selecting a Status filter updates the Status Level options to match.
Clearing Column Filters
- Click Reset Filters in the table header to clear all column filters at once.
- To clear a single column filter, open its filter panel and clear the value.
Saved Filters (Kanban and Table)
Saved filters are reusable filter combinations that work in both Kanban and Table views. They use a powerful filter builder with multiple conditions.
Creating a Saved Filter
- Click the Add Filter button in the filter bar above the board/table.
- In the dropdown, click Create Filter at the bottom.
- The Filter Builder Modal opens with the following options:
- Filter Name -- give your filter a descriptive name (e.g., "High Priority Pending Applications").
- Conditions -- add one or more filter conditions using the available fields.
- Preview -- click Preview to see how many records match before saving.
- Click Save to create the filter.
Applying a Saved Filter
- Click the Add Filter button.
- Your saved filters appear in the dropdown with a funnel icon.
- Click a filter name to apply it.
- When a saved filter is active, a blue label appears in the filter bar showing the filter name.
Editing a Saved Filter
- Click the Add Filter button.
- Hover over the saved filter you want to edit.
- Click the gear icon that appears on the right side.
- The Filter Builder Modal opens with the existing conditions.
- Make your changes and click Update.
Deleting a Saved Filter
- Open the filter for editing (gear icon).
- Click the Delete button in the filter builder modal.
- Confirm the deletion.
Global Search
The search bar at the top of the Kanban/Table view performs a text search across applicant names, guardian names, emails, and phone numbers.
- Type your search query in the search bar.
- Results are filtered in real time.
- The search works alongside any active column filters or saved filters.
Archived Applicants
To view archived applicants:
- Open the Filter Builder or use the archived toggle.
- Enable the Show Archived option.
- The view switches to show only archived applicants, with appropriate bulk actions (unarchive, delete).
WARNING
Archived applicants are hidden from all standard views and reports. Enable the archived toggle specifically when you need to review or restore them.
Filter Bar Indicators
When filters are active, the filter bar provides visual feedback:
- Clear filters button -- turns pink when any filter is active; click to clear all filters.
- Active filter label -- a blue badge shows the name of the currently applied saved filter.
- Count indicators -- the toolbar shows "X applicants filtered" when filters reduce the visible set.
