Introduction to Kinderpedia Admissions

Kinderpedia Admissions is a comprehensive admissions CRM (Customer Relationship Management) module built for schools, nurseries, and educational institutions. It runs as an integrated module within the Kinderpedia platform, giving admissions teams a single place to manage the entire student enrollment lifecycle -- from initial enquiry through to enrolled student.

Who Is It For?

Kinderpedia Admissions is designed for:

  • Admissions Officers who manage day-to-day enquiries, applications, and family communications.
  • Admissions Directors who need pipeline visibility, reporting, and capacity planning across programs and campuses.
  • School Administrators who configure workflows, forms, email templates, and team permissions.
  • Marketing Teams who track lead sources, engagement levels, and conversion funnels.

Key Features

Lead & Applicant Management

Track every prospective student from first contact through enrollment. Manage applicants across customizable pipelines with drag-and-drop stage progression, status tracking, and engagement scoring.

Rosters

Organize contacts into four distinct rosters:

  • Enquiries -- pre-application leads who have expressed interest.
  • Applicants -- families actively going through the admissions process.
  • Students -- enrolled students being onboarded or currently attending.
  • Alumni -- graduated or departed students for long-term relationship management.

Family Management

Group siblings and parents into family units. Deduplicate parent records automatically by email. View all family members, their relationships, and linked applicants in one place.

Form Builder

Create custom application forms with a drag-and-drop builder. Publish forms with unique public URLs that families can access without logging in. Collect documents, program preferences, and contact information.

Pipelines & Stages

Define admission pipelines with customizable stages (e.g., New, Contacted, Interview Scheduled, Documents Received). Track applicants visually on a Kanban board or in a sortable table view.

Activities & Tasks

Schedule calls, meetings, interviews, tours, and deadlines. Set reminders, assign owners, and track completion. View all tasks across leads in a centralized calendar.

Checklists

Create mandatory and optional checklist items for each applicant. Link checklist items to specific applicant statuses so they appear at the right stage of the process.

Email Templates

Design reusable email templates with merge fields (student name, parent name, dates). Send personalized communications directly from the applicant detail page.

Reports & Analytics

Access preset and custom reports covering pipeline distribution, application trends, source analysis, enrollment funnel, demographics, and capacity utilization.

Workflow Automation

Build automated workflows that trigger actions (send emails, change status, assign tasks) based on events like form submission, stage change, or status update.

Import & Export

Bulk import leads from spreadsheets. Export applicant data and reports to XLSX for offline analysis or board presentations.

Notifications

Receive in-app and email notifications for form submissions, stage changes, follow-up reminders, and more. Configure per-category preferences and daily digest emails.

How It Fits Into Kinderpedia

Kinderpedia Admissions runs inside the main Kinderpedia platform as an embedded module. When you navigate to the Admissions section in Kinderpedia, the module loads within the interface. Your authentication, school context, and user permissions are shared seamlessly between the main platform and the Admissions module.
