Report Filters

Filters let you narrow down report data to focus on specific time periods, pipelines, campuses, programs, and applicant statuses. Most reports share a common filter bar, with some reports offering additional specialized filters.

Dashboard Filter Bar

The standard filter bar appears at the top of most report pages and includes:

Date Range Filter

The date range filter is the most commonly used filter and supports both custom ranges and quick presets.

Using a custom date range:

  1. Click the date range button in the filter bar.
  2. Select a start date and end date.
  3. Click Apply to filter the report data.

Using date presets: Quick presets are available for common time periods:

PresetDescription
This MonthCurrent calendar month
Last MonthPrevious calendar month
This QuarterCurrent calendar quarter
Last QuarterPrevious calendar quarter
This YearCurrent calendar year
Last YearPrevious calendar year
Last 30 DaysRolling 30-day window
Last 90 DaysRolling 90-day window

Click a preset to instantly apply it. The date range button updates to show the selected range.

Reset Filters

Click the Reset button to clear all applied filters and return to the default unfiltered view.

Capacity Structure

TIP

The Capacity Structure report does not use the standard date range filter since it displays structural capacity data that is not time-dependent. It uses its own specialized view.

How Filters Affect Data

When filters are applied, the report:

  1. Queries the database with the filter parameters.
  2. Returns only data matching all active filters (AND logic).
  3. Recalculates all charts, percentages, and totals based on the filtered dataset.
  4. Updates the data table to show only matching rows.

WARNING

Applying very narrow filters (e.g., a single day with a single program) may result in too few data points for meaningful analysis. If a report shows empty results, try broadening your filter criteria.

Combining Filters

Multiple filters can be combined to create precise views:

Example: To see how many kindergarten applicants were accepted from referrals in Q1 2025:

  1. Set Date range to January 1 - March 31, 2025.
  2. Set Program to "Kindergarten."
  3. Set Source to "Referral."
  4. Set Status to "Accepted."

All filters apply simultaneously using AND logic.

Saving Filter Combinations

If you frequently use the same filter combination, save it as a custom report:

  1. Apply your desired filters.
  2. Click Save Report.
  3. Give it a descriptive name.
  4. Next time, open the saved report to load the same filters instantly.

See the Custom Reports article for details on saving reports.
