Email Notifications & Daily Digest
In addition to in-app notifications, the system can send you email alerts for important admissions events. This article explains how email delivery works, how to configure it, and how the daily digest feature consolidates notifications into a single summary email.
How Email Notifications Work
When an event occurs (e.g., a new form submission, a lead assignment, a checklist completion), the system:
- Creates an in-app notification visible in the Notification Center.
- Checks your notification preferences for that category.
- If email delivery is enabled for that category, sends an email to your registered email address.
Emails are sent via Amazon SES (Simple Email Service) and typically arrive within seconds of the event.
Email Content
Each notification email includes:
- Subject line -- A concise description of the event (e.g., "New form submission from Jane Smith").
- Event details -- The full notification message with relevant context.
- Link to the item -- A direct link to open the related lead, form, or entity in the application.
- School branding -- Your school name and logo as configured in General Settings.
Configuring Email Delivery
You can enable or disable email notifications per category:
- Go to Notifications > Preferences.
- In the Category Preferences table, use the Email column checkboxes.
- Enable email for categories you want to receive alerts for (e.g., Forms, Lead Lifecycle).
- Disable email for categories where in-app notifications are sufficient.
- Click Save Changes.
TIP
A common configuration is to enable email for high-priority categories like Forms (new submissions) and Follow-ups (task reminders), while keeping lower-volume categories like Notes & Files as in-app only.
Daily Digest
The Daily Digest is an alternative to receiving individual email notifications throughout the day. When enabled, the system holds notification emails and delivers them as a single consolidated summary at your chosen time.
What the Digest Includes
- A list of all unread notifications accumulated since the last digest.
- Notifications grouped by category for easy scanning.
- Direct links to each related item.
- A count of total notifications per category.
Enabling the Digest
- Go to Notifications > Preferences.
- In the Daily Digest section, check the Enable Daily Digest checkbox.
- Set your preferred Delivery Time using the time picker (e.g., 08:00 for a morning summary).
- Click Save Changes.
How the Digest Schedule Works
- The digest command runs every minute and checks which users are due to receive their digest.
- When your scheduled delivery time arrives, the system collects all your unread notifications and sends them as a single HTML email.
- If you have no unread notifications at the scheduled time, no digest email is sent.
WARNING
The daily digest does not replace in-app notifications. In-app notifications still appear in real time in the Notification Center regardless of your digest settings.
Previewing the Digest
You can preview what your digest email will look like:
- On the Notification Preferences page, ensure the digest is enabled.
- Click the preview button (envelope icon) next to the enable toggle.
- A sample digest email is displayed.
Temporary Mute and Email
During an active Temporary Mute (Do Not Disturb) period:
- Individual email notifications are not sent.
- Daily digest emails are not sent.
- In-app notifications continue to be collected silently.
- Once the mute period ends, normal email delivery resumes. Notifications generated during the mute period remain visible in-app but are not retroactively emailed.
Troubleshooting Email Delivery
| Problem | Solution |
|---|---|
| Not receiving emails | Check Notification Preferences to ensure email is enabled for the relevant category. |
| Emails going to spam | Add [email protected] to your email safe senders list. |
| Delayed emails | Check if you have a Temporary Mute period active. Also verify your daily digest is not absorbing individual emails. |
| Digest not arriving | Ensure the digest is enabled, a delivery time is set, and you have unread notifications. |
