Form Builder Overview
The Form Builder is a full-featured visual editor for creating application and enquiry forms. It uses a drag-and-drop interface with a field palette, multi-step support, conditional logic, and theming capabilities.
Accessing the Form Builder
- Navigate to Forms in the sidebar.
- Click Create Form to build a new form, or click an existing form's Edit button.
- The Form Builder opens in a studio interface that takes up the full page.
Starting From a Template
When you click Create Form, the Template Gallery opens first. Each template card has:
- A description of the form's intent (e.g., "Standard enrollment application", "Short campus tour booking").
- An eye icon -- click it to open a full, in-page preview before committing. The preview renders every step of the template exactly as applicants would see it, with a compact stepper at the top (Back / Next), so you can click all the way through multi-step templates. From inside the preview you can hit Use Template to close the preview and start building from that template.
- A Use Template button on the card itself if you already know the one you want.
TIP
Template previews are cached client-side, so re-opening the same template's preview is instant.
By default, templates created from the gallery (and forms generated by the Setup Wizard) have Require email verification turned off. Turn it on later in Settings → Email Gate when you want the email-gate flow.
Studio Interface Layout
The Form Builder studio consists of several key areas:
Header Bar
At the top of the screen:
- Form title -- displays the form name.
- Fullscreen toggle -- expand the builder to use your entire screen.
- Cancel -- discard changes and return to the forms list.
- Save -- save the form without leaving the builder (edit mode only).
- Live Preview -- open the published form URL in a new tab (edit mode, published forms only).
- Save & Close / Save Form -- save and return to the forms list.
Tabs
Three tabs control what is displayed in the main area:
| Tab | Purpose |
|---|---|
| Create | The main drag-and-drop form builder canvas. |
| Logic | Configure conditional logic rules (show/hide fields based on conditions). |
| Settings | Form configuration -- name, pipeline, visibility, theming, email gate, and publishing. |
Field Palette (Left Sidebar)
The left sidebar contains all available field types that you can add to your form. It is divided into sections:
- System Fields -- pre-built field blocks and individual fields that map to applicant data (student details, parent details, campus, academic year, program, fees).
- Form Elements -- general-purpose fields (text, email, dropdown, file upload, date, etc.).
- Page Elements -- layout elements (headings, dividers, descriptions) for structuring the form visually.
You can search for fields using the search box at the top of the palette, and toggle between list view and grid view.
Canvas (Center)
The main editing area where you build your form:
- Drag fields from the palette to the canvas to add them.
- Rearrange fields by dragging them within the canvas.
- Click any field to select it and edit its properties in the properties panel.
- Fields can be arranged in a single column or side-by-side (half-width) layout.
Adding Fields to Your Form
There are two ways to add fields:
Drag and Drop
- Find the field type in the left palette.
- Click and drag it onto the canvas.
- Drop it at the desired position (a drop indicator shows where it will be placed).
Click to Add
- Click a field type in the palette.
- The field is automatically added at the bottom of the current step.
TIP
System fields (like "Student Details" or "Parent/Guardian 1") can only be added once per form. Once used, they appear grayed out in the palette. However, some system fields like "Fee" can be added multiple times.
Multi-Step Stepper
If your form has multiple steps, a stepper navigation appears above the canvas:
- Click any step in the stepper to switch to that step.
- Use the Add Step button to add a new step.
- Use the arrow buttons to reorder steps.
- Use the trash icon to delete a step (at least one step must remain).
- A Thank You tab at the end lets you customize the confirmation page.
Steps can be reordered by dragging their tabs in the stepper.
Saving Your Form
- Save (edit mode) -- saves the current state without closing the builder.
- Save & Close -- saves and returns to the forms list.
- Save Form (create mode) -- creates the form and returns to the forms list.
WARNING
The form builder does not auto-save. Make sure to save your work regularly, especially before switching tabs or navigating away.
Field Properties
When you click a field on the canvas, a properties panel appears where you can configure:
- Label -- the display label shown to applicants.
- Placeholder -- hint text inside the field.
- Required -- whether the field is mandatory.
- Half Width -- display the field at half width (two fields side by side).
- Help Text -- additional instructions shown below the field.
- Options -- for select, radio, and checkbox fields, configure the list of choices.
- Validation -- field-specific validation rules.
System Field Blocks
System field blocks are pre-configured groups of fields that map directly to your applicant data:
| Block | Fields Included |
|---|---|
| Student Details | First name, last name, birthdate, gender, nationality, languages spoken |
| Parent/Guardian 1 | First name, last name, relationship, email, phone, address, city, country |
| Parent/Guardian 2 | Same fields as Parent 1, for a secondary guardian |
Individual system fields that can be added separately:
| Field | Purpose |
|---|---|
| Campus | Campus selection dropdown (populated from your school's campuses) |
| Academic Year | Enrolment year selection (populated from configured academic years) |
| Program | Program/year group selection (populated from configured programs) |
| Fee | Payment fee element (can be added multiple times for different fees) |
TIP
System fields are "locked" -- their field name mappings cannot be changed. This ensures that data submitted through the form is correctly mapped to the applicant record in the system.
