Contract Detail & Documents
The Contract Detail page provides a comprehensive view of a single contract, including its summary, participants, documents, and activity history.
Accessing the Detail Page
- Navigate to the Contracts list.
- Click any contract row (or the eye icon in the contract number column).
- The detail page opens showing the contract number, stage badge, and full details.
Page Layout
The detail page uses a two-column layout:
Left Column (2/3 width)
- Summary Card -- Key contract information at a glance.
- Participants Card -- List of all signing participants and their status.
- Activity / History -- Timeline of events and stage changes.
Right Column (1/3 width)
- Documents Card -- Generated files, signed copies, and upload options.
- Additional details -- Metadata, timestamps, and related entity links.
Summary Card
The summary card displays:
| Field | Description |
|---|---|
| Contract Type | The series/type name (e.g., "Enrollment Contract") |
| Contract Number | The auto-generated unique number (e.g., ENR-0042) |
| Company | The legal entity issuing this contract |
| Template | The DOCX template used for generation |
| Applicant | The student/lead name, linked to their profile |
| Enrolment Year | The academic year for this contract |
| Stage | Current lifecycle stage (Draft, Sent, etc.) |
| Created By | Who created the contract and when |
Click the applicant name link to navigate directly to that applicant's detail page.
Documents Card
The documents section shows all files associated with the contract:
Generated Documents
- Contract PDF -- The generated contract document in PDF format. Click to download or view.
- Contract DOCX -- The original generated DOCX file.
Signed Documents
- Signed PDF -- The signed version uploaded by a participant or admin.
- Signed File -- Any uploaded signed copy in its original format.
Uploading a Signed Copy
If a participant signs a physical copy or signs externally:
- In the Documents card, click Upload Signed Copy.
- Select the signed file from your computer.
- The file is uploaded to secure storage and linked to the contract.
TIP
Uploaded signed copies are stored securely in S3 with presigned URLs for access. Files are only accessible to authorized users for a limited time (15-minute expiry on download links).
Editing a Contract
Once a contract has been generated, the Edit contract button (purple outline) opens a multi-step modal that lets you revise the contract without starting over from the wizard. It replaces the older "Regenerate" action.
Steps in the edit modal:
- Review -- change the contract title, swap the company signatory (pick from the company's signatory roster), and adjust the parent signers (up to two, auto-filled from the lead's family).
- Fee Schedule -- edit, add, or remove fee rows. Each row carries label, amount, currency, category, and due date, and can be linked to an existing Fee in your fee catalogue. The step opens pre-filled with the contract's current fees so you edit existing state rather than start from a blank list.
- Field Mapping -- override values pulled from the lead record (same field overrides available in the create wizard).
- Preview -- re-render the final DOCX and PDF with your changes before saving.
When you save, the system regenerates both documents and updates the contract record. Original generated files are overwritten.
WARNING
If any participant has already taken action (viewed, signed, or declined) and you change signers or parent signers, a confirmation dialog warns that participant statuses will reset to Pending. Signatures already collected through email links are invalidated. DocuSign envelopes on this contract are voided first.
TIP
The Edit contract button is hidden once a contract reaches Completed or Voided -- those stages are terminal.
Participants Card
The participants section lists everyone involved in the contract signing process:
Each participant row shows:
- Name -- Participant's full name.
- Role -- Whether they represent the company or the family.
- Email -- Contact email (editable while contract is in Draft, Sent, or In Progress stage).
- Status badge -- Pending, Signed, or Declined.
- Timestamp -- When they signed or declined.
Editing Participant Email
- Click the edit button (pencil icon) next to the email address.
- Enter the corrected email.
- Save the change.
Resending to a Participant
For participants with "Pending" status on a sent contract:
- Click the resend button (paper airplane icon) on the participant row.
- The system sends a new email to that participant with the contract link.
Delivery Channel Chip
Sent contracts display a small chip in the page header showing how signatures are being collected:
- via Email -- participants sign through emailed shared links plus a public upload page.
- via DocuSign -- participants sign inside DocuSign and signatures stream back via webhook.
- via Email + DocuSign -- both channels are live on the same contract (typically after a mid-flight switch).
You can change channels through the overflow menu -- see Sending & Sharing Contracts.
Header Actions
The page header provides contextual action buttons based on the contract's current stage:
- Send / Resend -- Available when contract is in Draft, Sent, In Progress, or Declined stage.
- Resend to all pending -- Bulk action that re-notifies every signer still marked Pending on the contract, using the contract's current delivery channel.
- Edit contract -- Available once a contract has been generated, hidden on Completed and Voided contracts.
- Complete -- Available when contract is in Review stage and a signed copy has been uploaded.
- Void -- Available when contract is in Draft, Sent, In Progress, or Review stage.
- Switch delivery channel -- Available from the overflow menu when at least one signer is still pending.
- Delete -- Available from the overflow menu (three-dot icon).
- Back to Contracts -- Return to the contracts list.
Navigation
Click Back to Contracts to return to the list view. The back button preserves your previous filter and pagination state.
