Year Groups

Year groups provide an additional organizational layer for categorizing students within your school's structure. While programs define the educational track (e.g., Nursery, Primary), year groups define the specific year level (e.g., Year 1, Year 2, Grade 3).

Accessing Year Groups

  1. Navigate to Configuration in the sidebar.
  2. Select the Year Groups tab.

What Year Groups Are For

Year groups serve as:

  • Classification labels for organizing applicants by their target year level.
  • Filtering criteria for narrowing down lead lists and reports.
  • Form options for families to indicate which year group they are applying to.
  • Reporting segments for analyzing admissions data by year level.

Managing Year Groups

Adding a Year Group

  1. Click Add Year Group.
  2. Enter the year group details:
    • Name (required) -- The year group label (e.g., "Year 1", "Grade 3", "Form 5").
    • Code -- A short code for reference.
    • Order -- The sort position for display purposes.
  3. Click Save.

  1. Find the year group in the list.
  2. Click Edit.
  3. Update the desired fields.
  4. Click Save.

  1. Click Delete on the year group row.
  2. Confirm the deletion.

WARNING

Avoid deleting year groups that are referenced by existing leads or forms. This may cause display issues.

Year Groups vs Programs

Some schools use programs exclusively, while others use both programs and year groups for more granular organization.

TIP

If your school has a simple structure (e.g., just "Nursery" and "Reception"), programs alone may be sufficient. Year groups become valuable when you have many year levels within a single program track.
