Custom Reports
In addition to preset reports, you can create custom saved reports that capture specific filter combinations and configurations. Saved reports let you quickly return to a commonly used analytics view without reconfiguring filters each time.
Creating a Saved Report
- Navigate to Reports in the sidebar.
- Open any preset report that serves as the base for your custom report.
- Configure the filters to match the view you want to save:
- Set the date range
- Select specific pipelines, programs, campuses, or statuses
- Click the Save Report button.
- Fill in the details:
- Report Name -- a descriptive name (e.g., "Q1 2025 Kindergarten Admissions").
- Report Type -- the type of report (inherited from the preset).
- Preset Key -- links the saved report to its underlying preset for data generation.
- Chart Type -- the preferred chart visualization (bar, funnel, stacked, etc.).
- Click Save to create the report.
Viewing Saved Reports
Saved reports appear alongside preset reports on the Reports index page. Each saved report card shows:
- Report name
- Description
- Report type indicator
Click a saved report card to load it with the previously saved filter configuration.
Editing a Saved Report
- Open the saved report.
- Modify the filters as needed.
- Click Update Report to save your changes.
You can update the following properties:
| Property | Description |
|---|---|
| Name | The display name of the saved report |
| Filters | Date range, pipeline, campus, status, and other filter values |
| Chart Type | The preferred visualization type |
Deleting a Saved Report
- Open the saved report.
- Click the Delete button.
- Confirm the deletion.
WARNING
Deleting a saved report removes the saved configuration only. It does not affect the underlying data or the preset report it was based on.
Filter Combinations
When creating custom reports, you can combine multiple filters to narrow your analysis:
| Filter | Description |
|---|---|
| Enrolment Year | Focus on a specific academic year |
| Program | Filter by program or year group |
| Status | Show only applicants with a specific status |
| Source | Filter by lead source (website, referral, etc.) |
| Date Range | Restrict data to a specific time period |
| Campus | Filter by school campus |
| Include Sub-Programs | Expand program data to show sub-program detail |
TIP
For recurring reporting needs (e.g., monthly board reports), create saved reports with the appropriate filters. Then simply open the saved report and adjust the date range each month.
Best Practices for Custom Reports
- Name clearly -- use descriptive names that indicate what the report shows and for what time period (e.g., "2025 Primary Enrolment by Campus").
- One purpose per report -- create focused reports that answer a single question rather than broad reports that try to cover everything.
- Review regularly -- delete saved reports that are no longer relevant to keep your reports page uncluttered.
- Share insights -- use the export feature to share report data with colleagues who may not have access to the system.
Audit Trail
All saved report operations are logged in the audit trail:
- Create -- records when a new saved report is created, including the report type.
- Update -- records when a saved report's configuration is modified.
- Delete -- records when a saved report is removed.
