Reordering Stages
The order of stages in a pipeline determines how they appear on the Kanban board (left to right) and in the stage tracker on applicant detail pages. You can reorder stages using drag-and-drop to match your desired workflow sequence.
How to Reorder Stages
- Navigate to Settings > Pipelines.
- Click the expand arrow next to the pipeline whose stages you want to reorder.
- The stages are listed vertically, each with a drag handle (horizontal bars icon) on the left.
- Click and hold the drag handle on the stage you want to move.
- Drag the stage to its new position in the list.
- Release to drop it in place.
- Click Save to persist the new order.
TIP
The drag handle is the icon with two horizontal bars on the left side of each stage row. You must use this handle to initiate the drag -- clicking and dragging other parts of the stage row (like the name field) will not work.
Where Stage Order Matters
The order you set in the configuration page is reflected throughout the application:
Kanban Board
Stages appear as columns from left to right, matching the configured order:
[New Enquiry] → [Application Received] → [Interview] → [Offer Made] → [Enrolled]Moving a stage up in the configuration moves its column to the left on the board.
Stage Tracker
The applicant detail page shows a horizontal stage tracker at the top. Stages appear in the configured order, with the current stage highlighted.
Pipeline Selector Dropdowns
When moving an applicant to a different stage (via the detail page or bulk actions), the stage options are listed in the configured order.
Reports
Funnel reports and stage-based analytics respect the configured stage order.
Reordering Best Practices
Follow the natural flow -- arrange stages in the order that applicants typically progress through them (e.g., enquiry, application, interview, offer, enrollment).
Group related stages -- if you have multiple interview stages or assessment stages, keep them adjacent.
Terminal stages last -- place outcome stages like "Enrolled" and "Withdrawn" at the end of the pipeline.
Test the Kanban view -- after reordering, check the Kanban board to ensure the column layout makes sense visually.
WARNING
Reordering stages does not move applicants. If an applicant is in Stage 3 and you move Stage 3 to position 1, the applicant stays in that stage -- only the visual order changes. No data is affected.
Reordering Within the Kanban Board
The stage order on the Kanban board is determined entirely by the configuration page. You cannot reorder columns directly on the Kanban board -- all ordering changes must be made in Settings > Pipelines.
Saving the Order
After dragging stages to their new positions:
- The new order is reflected in the UI immediately.
- Click Save to persist the changes to the database.
- If you navigate away without saving, the changes are lost and the original order is restored.
TIP
Make all your reordering changes at once, then save. This is more efficient than saving after each individual move, especially if you are doing a significant reorganization.
Stage Order and Workflows
The stage order is purely visual and organizational. It does not affect:
- Workflow execution (workflows trigger based on specific stage transitions, not position)
- Status changes (status is independent of stage order)
- Lead data (no applicant data is modified by reordering)
