Searching and Sorting

Efficient searching and sorting helps you find the right applicants quickly, whether you are looking for a specific family or analyzing trends in your admissions data.

The global search bar appears at the top of both Kanban and Table views in the filter bar area.

How It Works

  1. Type your search query into the search bar.
  2. Results filter in real time as you type.
  3. The search matches against multiple fields:
    • Guardian/parent name
    • Guardian email
    • Guardian phone number
    • Student/child name

TIP

You can combine global search with column filters and saved filters. For example, search for "Smith" while filtering by the "Applied" status to find all Smith family members who have applied.

URL Search Parameter

You can link directly to a search result by adding ?search=query to the applicants page URL. This is useful for sharing specific search results with colleagues.

Column Sorting (Table View)

In Table View, most columns can be sorted by clicking the column header.

Sortable Columns

ColumnSort Behavior
Parent/GuardianAlphabetical by guardian name
Student NameAlphabetical by child name
Year / EnrolmentAlphabetical by year group name
StatusAlphabetical by status key
StageAlphabetical by stage name
Activity DateChronological by next activity date
Application DateChronological by creation date
Enquiry DateChronological by enquiry creation date (enquiry roster only)
Next ActivityChronological by next scheduled activity date

How to Sort

  1. Click a column header to sort by that column.
  2. Click again to toggle between ascending and descending order.
  3. Click a third time to clear the sort on that column.

The sort direction is indicated by an arrow icon in the column header:

  • Up arrow -- ascending (A-Z, oldest first)
  • Down arrow -- descending (Z-A, newest first)
  • No arrow -- no active sort on that column

TIP

Only one column can be sorted at a time. Clicking a new column header clears the sort on the previously sorted column.

Default Sort Order

  • Applicants are sorted by Application Date in descending order (newest first) by default.
  • Enquiries are sorted by Enquiry Date in descending order by default.

Combining Search and Sort

Search and sort work independently and can be used together:

  1. Enter a search term to narrow down results (e.g., "Maria").
  2. Click a column header to sort the filtered results (e.g., sort by Status).
  3. The sorted and filtered results are paginated -- use the pagination controls to navigate.

Searching in Kanban View

In Kanban view, the global search filters applicant cards across all stage columns:

  1. Enter your search term in the search bar.
  2. Cards that do not match the search are hidden from all columns.
  3. Column counts update to reflect the filtered totals.
  4. Clear the search to restore all cards.

Performance Considerations

TIP

For very large datasets (1,000+ applicants), the system loads data progressively. The first batch renders immediately while remaining data loads in the background. If you notice incomplete results, wait a moment for the background loading to complete, or apply filters to narrow the dataset.
