Stage Configuration

Stages are the individual steps within a pipeline that applicants move through during the admissions process. Each stage has a name, color, and optional probability score. You can add, edit, reorder, and delete stages to match your school's workflow.

Viewing Stages

  1. Navigate to Settings > Pipelines.
  2. Click the expand arrow next to a pipeline to reveal its stages.
  3. Stages are listed in order, with their name, color, and probability displayed.

Adding a Stage

  1. Expand the pipeline where you want to add a stage.
  2. Click the Add Stage button at the bottom of the stage list.
  3. A new stage row appears with a blank name field.
  4. Enter the stage name (e.g., "Documents Received").
  5. Select a color from the color palette.
  6. Optionally set a probability percentage.
  7. Click Save to persist all changes.

Common Stage Names

Here are typical stages for a school admissions pipeline:

StageDescription
New EnquiryInitial contact or form submission
Application ReceivedFull application has been submitted
Documents PendingWaiting for required documents
Interview ScheduledAssessment or interview arranged
Offer MadeAdmission offer extended
Offer AcceptedFamily has accepted the offer
EnrolledStudent is officially enrolled
WithdrawnFamily withdrew the application

Editing a Stage

  1. Expand the pipeline containing the stage.
  2. Edit the stage name directly in the text input field.
  3. Click the color selector to change the stage color.
  4. Modify the probability value if needed.
  5. Click Save to apply changes.

Stage Color

Each stage has an associated color that appears throughout the interface:

  • Kanban board -- the column header uses the stage color.
  • Table view -- the stage badge in the Stage column uses the color.
  • Stage tracker -- the progress tracker on the applicant detail page uses stage colors.
  • Reports -- charts use stage colors for visual distinction.

To change a stage color:

  1. Click the color selector (circle) next to the stage name.
  2. Choose from the predefined color palette.
  3. The color updates immediately in the preview.
  4. Click Save to persist.

Stage Probability

Each stage can have a probability percentage (0-100%) that indicates how likely an applicant at this stage is to ultimately enroll.

  • New Enquiry: 10%
  • Application Received: 30%
  • Interview Scheduled: 50%
  • Offer Made: 75%
  • Offer Accepted: 90%
  • Enrolled: 100%

Probability is used for forecasting and analytics, helping you estimate expected enrollment numbers based on your current pipeline.

TIP

Set probability values to reflect your historical conversion rates. Over time, you can refine these percentages based on actual data from your reports.

Deleting a Stage

  1. Expand the pipeline containing the stage.
  2. Click the delete button (trash icon) next to the stage.
  3. If the stage contains leads, a migration dialog appears:
    • Select the target stage where existing leads should be moved.
    • Only stages within the same pipeline are available as targets.
  4. Confirm the deletion.

The stage is soft-deleted (marked with deleted_at) and no longer appears in the pipeline. Leads are migrated to the chosen target stage.

WARNING

Deleting a stage cannot be undone. All leads in the stage must be migrated to another stage. The stage history records are preserved for audit purposes.

Stage Information Tooltip

Each stage row has an information icon that provides context:

  • What stages represent -- stages track where an applicant is in your pipeline.
  • Stage order -- the order of stages matters; applicants typically progress from left to right (top to bottom in configuration).
  • Drag to reorder -- stages can be rearranged by dragging.

Drag Handle

Each stage row has a drag handle (horizontal bars icon) on the left side. Use this to drag and reorder stages within the pipeline. See the Reordering article for details.

Stage and Lead Relationship

Important concepts about how stages relate to leads:

  • A lead's current stage determines its pipeline membership.
  • When a lead is moved to a different stage, the system records the stage change in the stage history.
  • Stage changes trigger workflows configured with "Stage Enter" or "Stage Exit" triggers.
  • The Kanban board shows one column per active stage.
