Applicant Listing

The Applicants page is the primary workspace for admissions teams. It shows all leads actively going through your admissions process and provides both a visual Kanban board and a sortable data table for managing them.

Accessing Applicants

Navigate to Rosters > Applicants in the sidebar. This is also the default redirect when you click "Rosters" or navigate to /leads.

Stat Cards

Four summary cards appear at the top of the page:

CardDescription
Pipeline ApplicantsTotal number of applicants in the currently selected pipeline (or all pipelines).
Overdue Follow-upsApplicants with follow-up dates that have passed.
Due TodayApplicants with activities or follow-ups scheduled for today.
High PriorityApplicants with high engagement levels.

Pipeline Selector

A dropdown button in the header lets you filter applicants by pipeline:

  1. Click the pipeline dropdown (shows the currently selected pipeline name or "All Pipelines").
  2. Select a specific pipeline to show only applicants in that pipeline's stages.
  3. Select All Pipelines to see every applicant regardless of pipeline.

TIP

Only active pipelines appear in the dropdown. Inactive pipelines are hidden from the selector but their leads remain accessible under "All Pipelines".

If you have configuration access, a Add New option at the bottom of the dropdown takes you directly to the Pipelines configuration page.

View Modes

Toggle between two view modes using the view switcher in the header:

Kanban View

The Kanban board displays pipeline stages as columns, with applicant cards arranged within each column. You can:

  • Drag and drop cards between columns to move applicants between stages.
  • Click a card to open the applicant detail page.
  • See key information at a glance: name, status, engagement level, and next activity.

Table View

The data table shows applicants in rows with sortable columns:

  • Student name
  • Guardian name and email
  • Program and year group
  • Status and engagement
  • Pipeline stage
  • Follow-up date
  • Source
  • Created date

The table supports:

  • Sorting -- click column headers to sort ascending/descending.
  • Search -- type in the search bar to filter by name, email, or other text fields.
  • Pagination -- navigate between pages for large datasets.
  • Bulk actions -- select multiple rows for batch operations.

Large Dataset Handling

If your school has more applicants than the system can load at once (typically over 500 in Kanban view), an informational banner appears:

"You have X applicants. For best performance, switch to Table view or apply filters."

The banner provides quick action buttons:

  • Switch to Table -- changes to table view, which handles large datasets with server-side pagination.
  • Apply Filters -- scrolls to the filter bar so you can narrow down the results.

Searching

The search bar above the data table/Kanban performs real-time filtering. The search query syncs to the URL as a search parameter, allowing you to:

  • Bookmark specific searches.
  • Share filtered views with colleagues by copying the URL.

Pipeline Persistence

Your pipeline selection is saved in your browser's local storage. When you return to the Applicants page, it remembers which pipeline you were last viewing. The pipeline can also be set via the pipeline URL parameter.

View Mode Persistence

Your preferred view mode (Kanban or Table) is also saved. When you return to the page, it opens in the view you last used. The view can be overridden via the view URL parameter (e.g., ?view=table).

Empty State

If no applicants exist yet, an empty state message appears:

"No applicants found. Create a form and share it with families, or create a lead manually."
