Managing Users
The Users & Roles page lets you view all staff members who have access to the admissions system, manage their role assignments, and control who can perform which actions.
Accessing User Management
- Navigate to Configuration in the sidebar.
- Select the Users & Roles tab.
- The page opens with the Users tab active by default.
User List
The user list displays all staff members with admissions system access:
| Column | Description |
|---|---|
| Name | Staff member's full name with avatar |
| Email address | |
| Roles | Assigned role badges |
| Last Seen | When the user last accessed the system |
| Actions | Edit and manage options |
Sorting
Click column headers to sort the user list:
- Name -- Alphabetical sorting.
- Email -- Alphabetical sorting.
- Last Seen -- Sort by most/least recently active.
Filtering
Use the filter controls above the table:
- Search -- Type to filter by name or email.
- Role filter -- Select a role from the dropdown to show only users with that role.
- Clear Filters -- Reset all filters.
View Modes
The Users tab offers two view modes, toggled via buttons in the header:
Table View
A traditional data table listing all users with sortable columns. Best for searching and bulk review.
Card View
Users displayed as individual cards with avatars, roles, and contact details. Best for visual browsing and smaller teams.
Assigning Roles to Users
- Find the user in the list.
- Click the Edit button or the actions menu.
- In the role assignment interface:
- Check the roles you want to assign to the user.
- Uncheck roles you want to remove.
- Save the changes.
TIP
A user can have multiple roles. Permissions from all assigned roles are combined -- the user has access to everything that any of their roles allows.
User Synchronization
Users are synchronized from the Kinderpedia main platform:
- The admissions system reads user data from the Kinderpedia Users SDK.
- User profiles (name, email, avatar) are managed in the main platform, not in the admissions module.
- Role assignments within the admissions module are managed locally.
WARNING
You cannot create or delete users from the admissions system. User accounts are managed in the main Kinderpedia platform. The admissions module only controls which roles those users have within this module.
User Status
- Active users -- Users who have accessed the system recently (shown by the "Last Seen" column).
- Inactive users -- Users who have not logged in for an extended period. They retain their role assignments.
Best Practices
- Review access regularly -- Periodically review the user list and remove role assignments for staff who no longer need access.
- Assign minimum necessary roles -- Follow the principle of least privilege. Give users only the permissions they need.
- Use the role filter -- When auditing access, filter by role to see exactly who has each level of permission.
- Check last seen dates -- Identify inactive users who may no longer need access.
